This Privacy Policy explains how personal information is collected, used, stored and shared through the Audio Bible Contest website, registration forms, competition activities and related communications.

Providing personal information is voluntary. However, certain information is required for us to register participants, confirm their eligibility, evaluate competition entries, communicate results and distribute certificates or prizes.

The Audio Bible Contest, also referred to as “ABC,” is operated by Faith Comes By Hearing Asia.

For the personal information described in this Policy, Faith Comes By Hearing Asia acts as the data controller or responsible organisation.

Depending on how you interact with ABC, we may collect the following information.

Information about participants

This may include:

  • Full name;

  • Age or date of birth;

  • Competition age group or category;

  • Selected competition language;

  • Country, city or region;

  • Church, school or organisation;

  • Email address or telephone number;

  • Registration and participation information; and

  • Any information included in communications sent to us.

We will not request identity-card, passport or similar identification information unless it is reasonably necessary to confirm eligibility or meet a legal requirement.

Parent or guardian information

For participants who are minors, we may collect:

  • Parent or guardian name;

  • Relationship to the participant;

  • Email address;

  • Telephone number;

  • Confirmation of parental or guardian authority; and

  • Records showing that the required permissions were provided.

Competition entries and results

We may collect or create:

  • Audio, video, written or other competition submissions;

  • Participant responses or supporting information;

  • Judging scores, evaluations and comments;

  • Competition category and placement;

  • Certificate information;

  • Prize and delivery information; and

  • Records relating to enquiries, appeals or disputes.

Photographs, videos and stories

During ABC activities, we may collect photographs, video recordings, audio recordings, interviews or testimonies.

We will obtain separate permission before using an identifiable minor’s photograph, voice, video, testimony or competition entry for publicity, social media, fundraising, promotional or ministry communication purposes.

Website and device information

When you visit the ABC website, certain technical information may be collected automatically, including:

  • Internet Protocol address;

  • Browser and device type;

  • Operating system;

  • Approximate location based on IP address;

  • Time zone;

  • Pages visited;

  • Referring website or search term;

  • From parents or legal guardians;

  • Through churches, schools, ministry partners or local ABC coordinators;

Where a church, school or coordinator submits information on behalf of a participant, that organisation or person should confirm that they are authorised to provide it.

5. How We Use Personal Information

We may use personal information to:

  • Register participants;

  • Confirm age, category and other eligibility requirements;

  • Obtain and record parental or guardian authorisation;

  • Receive, organise and evaluate competition entries;

  • Provide entries to authorised judges;

  • Communicate competition information, reminders and results;

  • Prepare and distribute certificates and prizes;

  • Respond to questions, complaints or requests;

  • Maintain the fairness, security and integrity of the competition;

  • Prevent fraud, misuse or duplicate registrations;

  • Organise ABC events and activities;

  • Maintain appropriate administrative and audit records;

  • Improve the website and future ABC programmes;

  • Comply with legal and regulatory requirements; and

  • Protect the rights, safety and security of participants, FCBH Asia and others.

We will only send newsletters or unrelated ministry communications where the recipient, or the participant’s parent or guardian where required, has separately agreed to receive them.

6. Children and Young Participants

ABC includes participants who may be under 18 years old. We take additional steps to protect their information.

Where required, a participant’s registration must be completed or authorised by a parent or legal guardian.

We seek to:

  • Collect only the information reasonably necessary for participation;

  • Explain our practices in language that children and parents can understand;

  • Verify parental or guardian permission where reasonably possible;

  • Avoid using children’s information for unrelated marketing;

  • Restrict access to authorised staff, judges and service providers; and

  • Allow parents or guardians to request access, correction or deletion of their child’s information, subject to legal and competition-record requirements.

Participation consent does not automatically include publicity consent. Permission to publish a participant’s name, photograph, voice, video, testimony or entry will be requested separately.

A parent or guardian may withdraw optional publicity or marketing consent by contacting us. Withdrawal will not affect processing that occurred lawfully before the request was received. It may not always be possible to recall printed materials or content that has already been lawfully published and shared by others.

7. Required and Optional Information

Information marked as required on a registration form is necessary to administer participation in ABC.

A participant may choose not to provide optional information. Refusing to provide optional information will not normally prevent participation.

However, if required information is not provided, we may be unable to:

  • Confirm eligibility;

  • Accept or evaluate an entry;

  • Contact the participant;

  • Issue a certificate; or

  • Deliver a prize.

Consent for newsletters, promotional communications and public use of photographs or recordings must be optional and presented separately from participation consent.

8. Legal Grounds for Processing

Depending on applicable law and the circumstances, we process personal information based on one or more of the following:

  • The participant’s or parent’s consent;

  • Steps necessary to register and administer participation in ABC;

  • Our legitimate organisational interests in operating a fair and secure competition;

  • Compliance with legal obligations; and

  • Protection of the rights, safety or vital interests of participants and others.

Where processing depends on consent, that consent may be withdrawn, subject to any information we must retain for legal, safeguarding, dispute-resolution or administrative purposes.

9. When We Share Information

We do not sell or rent personal information.

We may share information only where reasonably necessary with:

  • Authorised FCBH Asia staff and volunteers;

  • ABC judges and judging administrators;

  • National or local ABC coordinators;

  • Participating churches, schools or ministry partners;

  • Website-hosting, form, email, cloud-storage and technical-service providers;

  • Certificate printers;

  • Couriers or delivery providers;

  • Professional advisers;

  • Government authorities, regulators or law-enforcement agencies where required or permitted by law; and

  • Other parties with the participant’s or guardian’s permission.

Judges should receive only the information necessary to evaluate entries. Where practical, entries may be identified using participant numbers rather than unnecessary personal information.

Service providers are expected to process personal information only for the agreed purpose and to apply appropriate security and confidentiality protections.

10. International Transfers

FCBH Asia operates across multiple countries, and some authorised staff, coordinators or service providers may be located outside the participant’s country.

Where personal information is transferred internationally, we will take reasonable steps to ensure that it is handled securely and in accordance with applicable data-protection requirements.

The policy should not name a particular destination country unless information is actually transferred there.

11. How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including competition administration, safeguarding, dispute handling, audit and legal requirements.

The intended retention periods are:

  • Registration and participant records: 6 years after competition period;

  • Parent or guardian consent records: 6 years after competition period;

  • Competition entries: 6 years after competition period;

  • Judging scores and evaluation records: 6 years after competition period;

  • Certificate and prize-distribution records: 6 years after competition period;

  • Website security logs: 6 years after competition period; and

  • Newsletter information: until the person unsubscribes or the information is no longer required.

At the end of the applicable period, information will be securely deleted, anonymised or destroyed unless continued retention is required by law or necessary to resolve an ongoing matter.

12. Cookies and Analytics

The ABC website may use cookies and similar technologies to:

  • Enable essential website functions;

  • Remember website preferences;

  • Protect forms and website security;

Service-related ABC communications, such as registration confirmation, competition instructions, results or prize information, are not promotional messages and may still be sent where necessary to administer participation.

The ABC website may contain links to websites operated by other organisations.

FCBH Asia does not control those websites and is not responsible for their privacy practices. Visitors should review the privacy notice of each external website before providing personal information.
